Run a smooth event day
The event day should be boring in the best way: the right people have access, scanners are ready, and the door team knows what to do when connectivity is poor or a guest cannot find a ticket.
Prepare the event
Before doors open:
- Confirm the doors and event times shown to guests.
- Review active ticket types, sold admissions, and remaining stock.
- Add complimentary admissions to the guest list instead of using a fake 0€ checkout.
- Export the attendee list if the venue wants a paper fallback.
Give staff the right access
Invite door staff with the scanner role when they only need check-in access. Do not share an owner login. Open the scanner on each device before the rush and select the correct event.
Test every scanner
Scan one valid ticket and make sure the result is easy to understand. Ticket colors can help staff recognize tiers quickly. Check screen brightness, battery level, camera permission, and the venue Wi-Fi or mobile connection.
The scanner can keep accepting tickets during a temporary connection loss and sync attempts afterwards. Open it while online before doors, and avoid clearing browser data during the event.
Decide how the team handles exceptions
Agree on one person who can resolve names, duplicate scans, changed seats, or missing tickets. The scanner and guest list can search attendees by name. Keep refunds and broad order changes with a manager away from the main queue.
After doors
Review redeemed and outstanding admissions, sync any offline devices, and export the final attendee data if required. Keep the event and order history intact; it is useful for support and the next event.
